Cancellation Policy for Short-Term Rentals in Tennessee
1. General Cancellation Guidelines
Cancellation Terms:
- Free Cancellation Period: Guests can cancel free of charge up to 14 days before arrival.
- Partial Refund: Guests can cancel up to 7 days before arrival and receive a 50% refund of the total booking amount.
- No Refund: Cancellations made less than 7 days before arrival will not be refunded.
2. Force Majeure Clause
In case of unforeseen events beyond control (e.g., natural disasters, government travel restrictions), guests can cancel at any time before check-in and receive a full refund.
3. Last-Minute Bookings
Bookings Made Within 14 Days of Arrival: Non-refundable.
4. Early Departure
Guests leaving early will not receive a refund for the nights not spent.
5. Reservation Changes
- Date Changes: Allowed up to 7 days before arrival, subject to availability and rate differences. Changes within 7 days of arrival will incur a $50 change fee.
- Guest Changes: Must be communicated at least 3 days before arrival.
6. Cleaning and Security Deposits
- Cleaning fees are non-refundable once the guest checks in.
- Security deposits will be refunded within 7 days of check-out if no damages are identified.
7. No-Show Policy
Guests who fail to show up by 12 PM the day after the scheduled arrival date will be charged the full reservation amount.
8. Special Promotions
Special promotional rates or discounts are non-refundable.
9. Travel Insurance
Guests are advised to purchase travel insurance to cover unforeseen circumstances leading to cancellation.
10. Communication
Cancellations should be through email at kimparks@gosojourney.com or the booking platform used.
11. Documentation for Force Majeure
In force majeure cancellations, appropriate documentation must be provided (e.g., flight cancellations, medical certificates).
Example Scenarios:
- Guest A booked a rental for July 15-20 and canceled on July 1.
Full refund within the free cancellation period.
- Guest B booked for August 1-5, then canceled on July 25.
50% refund within 7-14 days before arrival.
- Guest C booked for September 10-15 and canceled on September 5.
No refund due to the cancellation within 7 days of arrival.
- Guest D booked on July 1 for July 5-10 and canceled on July 3.
No refund as the booking was last-minute, within 14 days of arrival.
